Hurricane Preparations at Wellington Regional Medical Center

GENERAL INFORMATION FOR HURRICANE TEAM (A):
Once the hospital’s hurricane plan is activated, all Hurricane (A) Team members must report for duty at Wellington Regional Medical Center.

At a time established (TBA) by the Command Center, the hospital will lock all of its entrances as a safety precaution to ensure that no unauthorized persons enter the building. During the “lockdown”, entrances will be accessible only with employee ID badges. All patients may enter at the Emergency Department.

Upon arrival, Hurricane (A) Team employees, their family members and physicians MUST sign in at the Main Lobby Command Center.

Keep your Wellington Regional Medical Center ID Badge with you at all times.

Hurricane (A) Team members are advised to bring the following items to the hospital:

  • ID Badge
  • Sleeping essentials—pillow, blanket, air mattress, sheets, etc.
  • Clean clothing and toilet articles for a minimum of three (3) days—mouthwash, deodorant, toothpaste, toothbrush, soap, toilet paper, feminine hygiene items, towels, etc.
  • 72 hours of non-perishable food items and drinks for family members.
  • Two (2) gallons of drinking water per person.
  • Medication, oxygen and formula for self and family members.
  • One (1) flashlight per person (with batteries).
  • Diapers, if applicable.

"ALL CLEAR" — HURRICANE WARNING LIFTED:
Hurricane (A) Team members will be released when the Command Center issues “ALL CLEAR”. If you are providing ANY patient care services, you will be required to stay until a Recovery Team (B Team) member relieves you.

At completion of your tour of duty, please sign out at the Main Lobby Command Center.

INFORMATION FOR RECOVERY (B) TEAM MEMBERS:
Unless informed otherwise by your department manager, ALL (B) Team members must report to Wellington Regional Medical Center immediately after the hurricane warning has been lifted.

Keep your Wellington Regional Medical Center ID Badge with you at all times. Your ID badge will be required to travel during the curfew hours. You may need it to re-enter the area.

Upon arrival, Hurricane (B) Team members should report to the Command Center.

Depending on the severity of the storm and disruption to the community, work schedules may fluctuate. The hospital's goal is to return to normal operations and schedules as soon as possible. Any concerns about your schedule should be discussed with your supervisor.

Hurricane Information for Expectant Mothers

Wellington Regional Medical Center will provide shelter for the following pregnant patients once a “hurricane warning” has been issued:

Anyone greater than 36 weeks may come to the hospital for shelter.

Patients greater than 30 weeks with known high risk issues such as preterm labor will also be provided shelter.

Only the patient and her spouse/significant other will be provided shelter.

Upon arrival at the hospital, please enter through the Outpatient Admitting Entrance located at the rear of the facility. Patients will first register at the central registration area located in the Outpatient Admitting Department

Patients must bring the following items to the hospital: Sleeping bag or blankets, towels, linens and pillows; snacks and drinks; bottled water; personal hygiene items. It is recommended that you also bring some form of entertainment such as books, games, music.

If you have any pertinent medical information such as blood type, HbSag, RPR, rubella titre and any other prenatal information, please bring it with you.

Storm Policy
In the event a Hurricane Warning (being defined as hurricane conditions are expected within 24 hours) is issued after business hours, but before the building is scheduled to open the next business day, the building will be officially closed and locked as of 1 p.m. of that next business day.

In the event a Hurricane Warning is issued during a business day, the building will be closed and locked at 6 p.m. of that day.

Hurricane Emergency Procedures

1. UPON THE ISSUANCE OF A “HURRICANE WARNING” FOR THE GEOGRAPHICAL AREA OF YOUR BUILDING (OR PRIOR TO SUCH HURRICANE WARNING AS DETERMINED BY PROPERTY MANAGEMENT AND NOTICE BY THE PROPERTY MANAGEMENT IS GIVEN TO EACH TENANT OF THE PROPERTY):

a. If the “Hurricane Warning” is issued by the Center during the day (a “day” is defined as any day [Monday through Sunday], between the hours of 7:00 a.m., applicable eastern time, and 5:00 p.m.), the building will be Shut Down twelve (12) hours after the issuance of the “Hurricane Warning”.

b. If the “Hurricane Warning” is issued by the Center “after hours” (“after hours” meaning any day after 5:00 p.m., but before 7:00 a.m. of the immediately following calendar day), the building will be Shut Down at 12:00 noon immediately following the issuance of the “Hurricane Warning”.

c. “Shut Down” shall mean that no access will be permitted during the shut down period.

When “Shut Down” occurs:

  • All tenants MUST leave the building.
  • Electricity WILL be shut down in all of the building, including all common areas.

d. Prior to evacuation of your offices, the following actions are highly recommended:

All valuables, records, equipment, loose articles, pictures and wall hangings should be removed from window areas and be stored in areas near the core of the space. All doors leading to secure areas should be closed and locked, if possible.

Unplug electric machines / computers / copiers from electric source and move away from any open areas and windows. If you have a back-up program on your computer system, use it. Have a responsible person take the tape/disks home for safety.

All perishable items should be removed from the premises. Please empty refrigerators and unplug from electrical source. All non-perishable items may remain inside the suite.

Furniture should be moved away from the windows. If this is not practical, it should be covered with plastic sheeting tied in place.

All blinds should be drawn and closed and all interior doors shut and locked.

Tenants having alarm systems should notify their alarm monitoring company of possible shutdown of electrical service during the storm.

DO NOT PUT TAPE ON THE WINDOWS.

No candles or flammable energized lamps may be used.

A reminder: As stated in your lease, damage to personal property and business interruption losses is the responsibility of the tenant. Consult your insurance carrier to ensure you are adequately covered and the current deductible is adequate.

Important documentation and records should be securely locked up or taken home with an owner/responsible employee. Window ledges should be cleared of files and documentation.

The office manager/owner should take home an employee list with telephone numbers.

Seal up the front door to your unit on the ground level buildings.

Shut off all power to your suite from the electrical source (for assistance, please contact the Property Management office).

Close all window coverings to prevent glass from entering.

Be prepared to stay away from your offices until you are informed or notified that it is safe to return. The building will be locked and remain locked until power is restored and all systems are functioning properly.

During non-business hours, the above information is a guideline for a person designated from each office to see that their business is ready for a hurricane.

e. The building will be re-opened at the time that property management, in its sole discretion, determines that building can be operated under normal conditions.

f. Tenants must call their designated toll-free number for daily updates as to the status and re-opening of the building.
