Hurricane Emergency Procedures
1. UPON THE ISSUANCE OF A “HURRICANE WARNING” FOR THE GEOGRAPHICAL AREA OF YOUR BUILDING (OR PRIOR TO SUCH HURRICANE WARNING AS DETERMINED BY PROPERTY MANAGEMENT AND NOTICE BY THE PROPERTY MANAGEMENT IS GIVEN TO EACH TENANT OF THE PROPERTY):
a. If the “Hurricane Warning” is issued by the Center during the day (a “day” is defined as any day [Monday through Sunday], between the hours of 7:00 a.m., applicable eastern time, and 5:00 p.m.), the building will be Shut Down twelve (12) hours after the issuance of the “Hurricane Warning”.
b. If the “Hurricane Warning” is issued by the Center “after hours” (“after hours” meaning any day after 5:00 p.m., but before 7:00 a.m. of the immediately following calendar day), the building will be Shut Down at 12:00 noon immediately following the issuance of the “Hurricane Warning”.
c. “Shut Down” shall mean that no access will be permitted during the shut down period.
When “Shut Down” occurs:
- All tenants MUST leave the building.
- Electricity WILL be shut down in all of the building, including all common areas.
d. Prior to evacuation of your offices, the following actions are highly recommended:
All valuables, records, equipment, loose articles, pictures and wall hangings should be removed from window areas and be stored in areas near the core of the space. All doors leading to secure areas should be closed and locked, if possible.
Unplug electric machines / computers / copiers from electric source and move away from any open areas and windows. If you have a back-up program on your computer system, use it. Have a responsible person take the tape/disks home for safety.
All perishable items should be removed from the premises. Please empty refrigerators and unplug from electrical source. All non-perishable items may remain inside the suite.
Furniture should be moved away from the windows. If this is not practical, it should be covered with plastic sheeting tied in place.
All blinds should be drawn and closed and all interior doors shut and locked.
Tenants having alarm systems should notify their alarm monitoring company of possible shutdown of electrical service during the storm.
DO NOT PUT TAPE ON THE WINDOWS.
No candles or flammable energized lamps may be used.
A reminder: As stated in your lease, damage to personal property and business interruption losses is the responsibility of the tenant. Consult your insurance carrier to ensure you are adequately covered and the current deductible is adequate.
Important documentation and records should be securely locked up or taken home with an owner/responsible employee. Window ledges should be cleared of files and documentation.
The office manager/owner should take home an employee list with telephone numbers.
Seal up the front door to your unit on the ground level buildings.
Shut off all power to your suite from the electrical source (for assistance, please contact the Property Management office).
Close all window coverings to prevent glass from entering.
Be prepared to stay away from your offices until you are informed or notified that it is safe to return. The building will be locked and remain locked until power is restored and all systems are functioning properly.
During non-business hours, the above information is a guideline for a person designated from each office to see that their business is ready for a hurricane.
e. The building will be re-opened at the time that property management, in its sole discretion, determines that building can be operated under normal conditions.
f. Tenants must call their designated toll-free number for daily updates as to the status and re-opening of the building.
